Privacy Notice
Last updated 23 October 2026
This notice explains what personal data Karaoke Songbook uses, why, and the choices and rights you have. It's for hosts, who subscribe to take song requests, and singers, who send them.
Who we are
Karaoke Songbook is run by Digital Entertainer Limited, a company registered in England and Wales, number 05687461, whose registered office is at 2 Beacon End Courtyard, London Road, Stanway, Colchester, CO3 0NU, United Kingdom. We're the controller of the personal data described here, except for the payment details Paddle collects, as explained below.
For anything about your data, email support@easykj.com.
What we collect, and why
If you're a singer
When you send a song request, we keep the name you type, the song you choose, when you sent it, and a random number that tells your phone from others. We pass the first three to the host running that night. We use them only to run song requests, because we have a legitimate interest in providing the service you're using. The random number lets the host block a phone that misuses song requests. Please don't enter anything in the name box but the name you'd like the host to call. You don't need an account, and we don't ask for your email address or any other details.
If you're a host: subscribing
Paddle, our reseller and Merchant of Record, runs the checkout. It collects your name, email address, billing address and payment details, and handles them under its own privacy notice. We never see your card details.
Paddle tells us your email address, its reference numbers for you and your subscription, the plan you chose, when it renews or ends, and any refund. We use these to give you your subscription code, email it to you, keep your subscription up to date, answer your questions, and handle refunds. We do this to carry out our contract with you, and to keep the business records the law requires.
If you're a host: using song requests
Your copy of EasyKJ sends us:
- your subscription code, so we know your subscription is active;
- the titles, artists and disc numbers of the songs singers can choose from. None of your music files leave your PC;
- a secret key, created for your copy, that it sends with each call, and a code that singers use to find your page.
We use these to run song requests for you, to carry out our contract with you.
Emails
When you email us, we keep the emails to answer you and for our records.
Visiting this web site
Like all web sites, ours receives your IP address and details of your browser to send you its pages and protect itself from attacks. We don't use them to identify you or to follow what you do.
Who we share it with
We don't sell personal data, or share it for advertising. We share it only with:
- The host: the singer's name and song, for the requests sent to them;
- Paddle (Paddle.com Market Limited), our reseller and Merchant of Record, for payments, taxes, invoices and refunds;
- Microsoft, whose Azure service hosts this web site and its database in the United Kingdom;
- SMTP2GO, which delivers the emails we send, such as your subscription code;
- our professional advisers, such as accountants and lawyers, where needed;
- the police, courts or other authorities, if the law requires it.
Transfers outside the UK
Our web site and database are in the UK. Where one of our providers handles personal data outside the UK, it's protected as UK data protection law requires: either the country is covered by UK adequacy regulations, or the provider is bound by the UK International Data Transfer Agreement or the UK Addendum to the EU's Standard Contractual Clauses.
How long we keep it
- Song requests: 90 days after they're sent, then they're deleted.
- A host's song list: while their subscription is active and for 30 days after it ends. It's replaced each time their EasyKJ sends a new one.
- Subscriptions and payments: while the subscription is active, and then for six years, for our accounting and tax records.
- Emails with us: for up to two years after our last contact, unless they're part of our business records.
Keeping it safe
This web site only works over a secure (HTTPS) connection. Access to our systems is limited to the people who need it, and secrets such as hosts' keys are stored in a form that can't be read back.
Cookies
We don't use cookies for analytics or advertising. The song request page uses two cookies: one that's needed to protect its form from misuse, and one holding a random number that lasts a day, so the host running that night can block a phone that's misusing song requests. Neither is used for anything else. When you subscribe, Paddle's checkout may set cookies needed for payments and to prevent fraud: see Paddle's privacy notice.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you;
- have it corrected if it's wrong, or deleted;
- ask us to restrict how we use it, or object to how we use it;
- have it given to you, or another organisation, in a common format;
- withdraw your consent, where we rely on it.
To use any of these rights, email support@easykj.com. We'll reply within one month. If you're not happy with how we've used your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113, though we'd appreciate the chance to put things right first.
Changes
We'll update this notice when what we do changes. The date at the top says when it last changed.
